RamConnect
RamConnect is West Chester University's campus engagement platform. RamConnect is your one-stop-shop that helps you find and register for campus events, connect with and manage student organizations, send email communications, manage your roster, and more! Identifying and Validating New Member
Council of Organizations
Council of Organizations (COO) is a monthly meeting hosted by Student Engagement & Student Government Association. Each registered student organization is required to send at least one representative to each of these meetings. Should a representative not attend, your organization can lose access to space reservation abilities on campus or access to SSI account.
All Council of Organization/Town Hall meetings will take place at 7:15 PM.

What if no one from my executive board can attend?
You can appoint a general member to attend as a representative for your organization, and they can report back to your executive board with important updates. Make sure that they check in for your organization so you get marked for attendance.
What if no one in my organization can attend?
Please complete this form 48 hours prior to the Council of Organizations' date to be considered by Student Engagement. All submissions are considered on a case-by-case basis. We will determine if your absence is excused.
Recruiting
Recruitment is the process of identifying, attracting, and (possibly) selecting potential members for your organization. This is especially important for new organizations in the process of forming!
What can recruiting look like for your organization?
- Tabling (Involvement Fair, Category Events, etc.)

Recruiting Tips
Have an elevator pitch about your organization
- An elevator pitch is a brief (20-30 second) persuasive speech that you use to spark interest in what your organization does.
- There are certain key points you should touch on when speaking to a prospective member, such as “What does your organization do?” “Why should someone join?” And “how can they get involved?”

Most meeting spaces & venues are reserved via the 25Live system. For venues not reservable through this system, please contact the venue manager directly.

Marketing your organization:
There are many different ways to market your organization and recruit members. Here are some of the different channels available to you as an org leader:
- Digital Signage
- Display event flyer or ad on the flat screen televisions across campus [review guidelines]
- Submit Digital Signage Request Online Form
- Must be completed by a faculty or staff member, such as your advisor.
- Graphics & Printing Services
- Graphic design & printing of flyers

- Weekly email sent to all-students with announcements & information about events

Hazing Prevention
West Chester University is committed to being accessible for any hazing concerns or reports. Reports of hazing activity or behavior believed to involve hazing, as defined, should be reported to the WCU Police Department or the law enforcement agency where the activity occurred. Persons may also report the activity to the Office of Student Conduct or the Office of Equal Opportunity and Compliance.

Please note all West Chester University employees are also mandated reporters under the Clery Act, therefore any information given to a university employee (this including coaches, on campus advisors, Residence Life staff, etc.) are required to report potential hazing activity and policy violations directly to the Office of Student Conduct.
Upon notification of an allegation of hazing, the Office of Student Conduct or the
Office of Equal Opportunity and Compliance will immediately notify the WCU Police
Department to ensure investigative integrity for any criminal activity is preserved.

Re-registration and Elections
All recognized student organizations will complete the re-registration process in Spring 2025. This process involves multiple steps, including completing a Ram-Connect form and hosting elections.
Your organization will need to host elections by March 31st. Your organization will
need to have a President, Vice President, Treasurer, and Secretary voted upon by the
general membership of the organization per the Student Organization Recognition Policy.

Each student must have at least a 2.0 cumulative GPA.

Each elected officer must be considered in good standing with the Office of Student Conduct.

You must also have a WCU faculty/staff advisor.

Each position must be filled by a unique undergraduate student, meaning that students cannot hold more than one position.
