Computer Replacement Guidelines

The purpose of the replacement cycle is to ensure that eligible faculty and staff have a reliable computer to use for teaching, research, and administration. The current hardware replacement cycle is approximately 4 years. When a system reaches end of life, it will become eligible for upgrade through the Replacement Fund.

Replacement Process

When an individual has one system (i.e. desktop or laptop) that is at end of life:

  • The old system is removed and the data is copied over to the new system.
  • The new system is delivered to the office and installed by a technician.
  • The old system is reformatted and recycled.

When an individual has multiple systems (i.e. desktop and laptop) that are at end of life:

  • If an individual has multiple systems (i.e. desktop and laptop) that are at end of life, the Replacement Fund will only cover the cost of one (1) system. Faculty and Staff with multiple devices eligible for upgrade of upgrade will be consolidated to one laptop for simplicity and flexibility for use on or off campus.
  • The old systems are removed, and the data from multiple devices are compiled and copied over to the new system.
  • The new system is delivered to the office and installed by a technician.
  • The old systems will be reformatted, and then recycled.

Items to note:

  • Printers and monitors are not covered under the Replacement Fund, and are the financial responsibility of the department.
  • The Microsoft Surface models are not eligible for replacement.
  • The Apple iPad models are not eligible for replacement.
  • Individuals requesting an upgrade to a Lenovo desktop will receive (1) Lenovo monitor replacement.
  • Individuals requesting an upgrade to a Lenovo laptop will receive (1) Lenovo docking station replacement.
  • Faculty members are advised to upgrade to one of our recommended laptops for mobile use on or off campus.
  • Specialized software will be installed on new device upon request if available by the University.
  • All equipment hardware/ software issues must be reported to IS&T Help Desk for support. (Helpdesk@wcupa.edu or 610.436.3350)
  • When an individual is no longer affiliated with the University, it is the responsibility of the department to ensure the return of ALL assigned University-owned equipment, and to notify the IS&T Help Desk to update equipment records.
